CONVENER'S GUIDE

Convener is a very important position with the PYISC. The convener's responsibility with the club is to create an environment where the players will enjoy a fun and safe season of soccer.

The convener will monitor the division by watching the first three games and providing information at an executive meeting for balancing the teams if necessary. The convener and the executive, sometime after the fourth game, would meet and discuss any changes that are necessary to take place. Throughout the year the convener would be involved with the possibility of dealing with disputes (fair play rule) and working close with the House League Manager. The tournament will involve one weekend to monitor the games and present the year-end trophies and tournament winners.

Registration

The convener will need to sign a registration form for insurance purposes.

Monitoring the Games

The convener wiil need to become familiar with the teams' players, introducing yourself. This will be invaluable to coaches and players. The convener is asked to observe the first three games and observe coaches for the fair play rule and also the quality of players.

If re-balancing of a team is required we will require your input.

Balancing the Teams (After 3rd game played)

This is always a sensitive issue with some parents and coaches. We inserted a special note for the parents to initial on the registration form.

Bring to the meeting a copy of the players and what you feel is a fair rating for each player (A, B, C, and D). Our club does not move the best players from a strong team, the coach's or a sponsor's child from the team. Discussion with the coach often saves distraught parents from calling. Notifying the effected parents of the children that are changing teams, falls under the convener's responsibilities.

Telephone Calls

Conveners may receive telephone calls from the parents and/or coaches. Please be courteous. 24 hours could be a grace period to return calls from parents. If a problem cannot be solved, please contact the House League Manager or Soccer Line (740-2474). The first point of contact for the coaches and parents will be the Convener. This includes gym and schedule changes, cancellations and fund raising information. The House League manager will relay this information to you and in turn the coaches will be contacted by you.

Team Pictures

When notified, the convener would pick up the pictures at PICTURE THIS PHOTOGRAPHY and deliver to the coaches. 741-0381, 637 The Queensway U11.

Problems

As a convener, take down the information, and if possible suggest a return call. If you have any questions contact the House League manager or the Soccer line.

Year-end Tournament

The last weekend of the schedule is our year-end tournament. The convener's role is to monitor the games (ensure the Fair Play Rule takes place), to pick up and distribute any information to the coaches on placing and game times, to congratulate the first place winners from the league with trophies (handed out at the first game of the tournament) and to present the semi-final and final awards for the tournament winners.

The convener would also collect the soccer balls and return them to the Equipment Manager.

The U7 and U9 divisions do not participate in a tournament but will play a last game and will all receive trophies, which are presented by the convener.

Equipment

The coaches are required to deflate the soccer balls and bring to the last game. The convener would forward to the Equipment Manager.

Fundraising

PYISC offer the players an opportunity to keep costs to a reasonable limit through once a year fund raising. The order forms will be handed out at the Coach's meeting but collected by the convener on the specified date. Forms and money are required to be delivered to the Fundraiser Manager.
